Regional Office Administrator

Our client is looking for a Regional Office Administrator.

Role Overview:
The Regional Office Administrator is responsible for the efficient day-to-day management of the regional office. This role provides administrative and operational support to local employees, oversees office operations and activities, and serves as the primary liaison between the regional office and Headquarters. The Regional Office Administrator ensures the office operates efficiently while maintaining an organised, compliant, and productive work environment.
Key Responsibilities:

Office Administration

  • Ensure the office operates efficiently daily;
  • Coordinate office supplies, equipment, facilities, and maintenance;
  • Liaise with landlords, suppliers, and other service providers;
  • Support general administrative tasks and office documentation.

Operational Support

  • Assist with the implementation of company policies and internal procedures;
  • Support local operational initiatives and help coordinate office activities;
  • Maintain accurate records and ensure required documentation is up to date;
  • Assist with preparing reports and administrative information when required.

Budget & Expense Coordination

  • Assist with tracking office-related expenses and invoices;
  • Support the regional office budget by monitoring routine operational costs;
  • Coordinate with Finance regarding office payments and administrative expenses.

Employee Support

  • Support the onboarding process for new employees;
  • Assist employees with office-related requests and day-to-day administrative matters;
  • Help organize internal meetings, events, and team activities;
  • Contribute to maintaining a positive and collaborative office environment.

Compliance

  • Ensure office documentation complies with company policies and local requirements;
  • Coordinate required documentation with external providers and local authorities when needed;
  • Escalate any compliance or operational concerns to the relevant departments.

Communication & Coordination

  • Act as the primary contact between the regional office and Headquarters for administrative matters;
  • Coordinate communication between local employees and central support functions (HR, Finance, IT, Legal, etc.);
  • Escalate operational issues and provide regular updates to the Regional Manager or other designated stakeholders.
Required Skills & Experience:
  • Previous experience in office administration, operations, or administrative support;
  • Strong organisational and multitasking skills;
  • Excellent communication and interpersonal skills;
  • Good knowledge of Microsoft Office (Word, Excel, Outlook);
  • Ability to work independently, prioritise tasks, and meet deadlines;
  • Professional, proactive, and detail-oriented approach;
  • Fluent English; additional local language(s) are considered an advantage.
